Job Summary:

We are looking for a dynamic and creative Office Administrator with a strong flair for marketing to join our team. This role is ideal for someone who thrives on combining organizational excellence with marketing expertise. The successful candidate will play a key role in creating and managing online marketing content using Canva and other design tools, overseeing social media platforms, and contributing to our brand’s online presence. In addition, you will handle essential administrative tasks such as managing appointment schedules, capturing and reconciling daily expenses, preparing client reports, and performing general office duties. Proficiency in Word, PowerPoint, Excel, is essential. If you are a detail-oriented multitasker with a passion for marketing and administrative efficiency, we’d love to hear from you!

Key Responsibilities:

General Office Administration: Perform day-to-day administrative tasks, including filing, answering phone calls, and responding to emails to support the smooth operation of the office.

Appointment Scheduling: Manage the appointment calendar and coordinate meetings with internal and external stakeholders as required.

Expense Tracking and Reconciliation: Capture and reconcile daily expenses, ensuring timely and accurate records for financial reporting.

Client Reporting: Generate, compile, and manage client reports, ensuring data accuracy and timely delivery to relevant stakeholders.

Documentation: Ensure that all documents are properly filed and organized for easy retrieval and reference.

Property Listings: Load properties onto the website and property portals, ensuring accurate and appealing presentations.

Preparing Marketing Content: Create and design marketing materials using Canva and similar programs to support promotional activities.

Online Marketing Management: Coordinate and manage online marketing activities, including updates and campaigns on the website, property portals, and social media platforms, to maximize visibility and engagement.

CRM Management: Oversee and maintain the CRM system to ensure efficient client and property data management.

Qualifications:

Educational Requirement: Matric certificate (or equivalent).

Experience: Previous experience in real estate administration, combined with a background in digital marketing and design, is preferred.

Skills Required:

Experience in content creation, with experience and understanding of digital marketing.

Excellent understanding of key social media channels.

Concepting and writing in English to specific markets.

Excellent communication skills, with the ability to articulate creative concepts and provide constructive feedback.

Experience in real estate office activities.

Attention to detail and a commitment to delivering work of the highest quality.

Ability to work under pressure, juggle multiple projects and meet deadlines.

Proficient in Microsoft Office, Canva.
